What visa management software does, the six stages every visa application moves through, and what to look for before you choose a system for your agency.
What visa processing software does
Visa processing software, also called visa management or visa application software, gives every traveller's visa one file: the documents their destination needs, what has been received, where the application stands, and the dates that can't be missed.
It replaces the mix of paper folders, spreadsheets and chat threads most agencies start with, which work for ten applications a month and fall apart at a hundred.
The six stages of a visa application
Whatever the country, applications follow the same path: enquiry, document checklist, document collection, submission or appointment, tracking, and handover, when the passport or e-visa is delivered and fees are closed.
Most problems happen between stages, when nobody is sure who is waiting on whom. A missing document is the classic example: the traveller thinks they sent it, the team thinks they're still waiting, and the appointment date gets closer.
Where agencies lose time without a system
Chasing the same traveller several times for the same document. Re-checking a country's requirements from scratch for every file. Missing an appointment slot or a passport validity rule. Taking "what's the status?" calls because the customer can't see progress. Reconciling visa fees and service charges at month-end from separate records.
None of these are hard problems on their own. Together, across dozens of open applications, they take up most of the team's day.
What to look for in a visa management system
Country-wise checklist templates your team can keep up to date. Document upload for staff and travellers, with a clear list of what's pending. A visible stage for every application. Reminders before appointments and document expiry dates. A communication log on each traveller's file. Fee and service-charge tracking per traveller.
If you also sell trips, check that the visa file can sit alongside the booking, so the same customer isn't tracked in two places.
How Ivonix handles it
Our visa management software covers each of these: country-wise templates, document uploads, stage tracking, reminders, a communication log and fee tracking. We also built TravelJio's visa assistance website, which covers requirements, fees and documents for 39 countries.
If visas are one part of a bigger operation, our Travel CRM keeps enquiries, quotes and bookings in the same system.
